Privacy Policy
This Policy explains how T-S-M Tech Services Machine processes the personal data of users and clients, including what data we collect, for what purposes, for how long, and what rights are available to data subjects.
1. Scope of processed data
- full name, company name, NIP/REGON, job title,
- email address, phone number, postal address,
- data necessary for the performance of an order/contract and billing (e.g., invoice details),
- data provided in the content of enquiries (contact form, email, WhatsApp).
2. Purposes and legal basis of processing
- handling enquiries and correspondence β Article 6(1)(b) and (f) GDPR (pre-contractual steps / legitimate interests),
- concluding and performing a contract (provision of service/relocation/installation services) β Article 6(1)(b) GDPR,
- issuing and retaining accounting documents β Article 6(1)(c) GDPR (legal obligation),
- establishing, pursuing or defending claims β Article 6(1)(f) GDPR,
- direct marketing of our own services (occasional updates) β Article 6(1)(f) GDPR; where we use a newsletter/SMS β on the basis of consent (Article 6(1)(a) GDPR).
3. Data recipients
- entities providing us with technical/organisational support (hosting, email systems, cloud tools, accounting, courier companies),
- subcontractors performing service/transport work (to the extent necessary to deliver the services),
- competent public authorities β only where required by law.
4. Data transfers outside the EEA
As a rule, we do not transfer data outside the European Economic Area. If this is necessary (e.g., the use of a tool with servers outside the EEA), we will ensure an appropriate level of protection (EU Standard Contractual Clauses or equivalent safeguards).
5. Retention period
- for as long as necessary to handle the enquiry/perform the contract,
- for accounting records β for the period required by law (usually 5 years),
- until the limitation period for any claims expires,
- where consent applies β until it is withdrawn.
6. Rights of data subjects
- access your data, rectification and erasure (“right to be forgotten”),
- restriction of processing and data portability,
- object to processing based on legitimate interests,
- withdraw consent at any time (without affecting the lawfulness of processing prior to withdrawal),
- lodge a complaint with the President of the Personal Data Protection Office (UODO), 2 Stawki Street, 00-193 Warsaw β if you consider that we have infringed your rights.
7. Cookies and similar technologies
- ensuring the proper functioning of the site (technical cookies),
- statistical/analytical purposes (e.g., anonymous visit statistics),
- where applicable, functional purposes (remembering settings).
8. Server logs
Use of the website results in entries being recorded in the server logs (including IP address, date/time, browser information). These data are used for administering the site and for security purposes β they are not associated with specific individuals unless this is necessary to investigate an incident.
9. Data security
We apply technical and organisational measures appropriate to the risk (including access control, transmission encryption and backups) to protect data against unauthorised access, loss or unlawful disclosure.
